New vacancies in INTO Head Office

The Irish National Teachers’ Organisation (INTO) is currently recruiting for two temporary Clerical Officer positions within both our ICT and Education, Research and Learning sections.

Both roles are based at INTO Head Office (Dublin).

Position of Clerical Officer (temporary) ICT

We are looking for an individual with previous experience in Technical Administrative Support to work as part of a team under the management of the Section Assistant General Secretary and the overall management of the General Secretary of the INTO.

In that context, he/she will be allocated specific duties and will be required to exercise sound judgement, skill and diligent application in the performance of his/her role and demonstrate flexibility when required.

The Clerical Officer ICT will as part of the project team:

  • Assist in co-ordinating the many administrative tasks related to the delivery and on-going support of a MS Dynamics CRM project
  • Communicate with other departments regarding project requirements, timelines, or project-related information
  • Provide product support for users in Head Office and Belfast as well as to individual remote users throughout Ireland
  • Co-ordinate and follow-up on weekly support calls with third party provider
  • User testing of upgrades and updates to the MS Dynamics CRM
  • Stay engaged with projects and be able to accurately report on the status of multiple sub-projects
  • Develop and recommend processes and procedures to enhance department workflow
  • Assist in the preparation and maintain a wide variety of manuals in support of the project department
  • Provide training on CRM functionality to various users
  • Prepare weekly project update presentation for senior management team
  • Other duties, responsibilities or tasks, which, from time to time, may be assigned by the General Secretary.

Interested applicants should ideally have:

  • Bachelor’s degree in IT or the equivalent in training and education
  • Knowledge or experience of using MS Dynamics is an advantage
  • At least 1-2 years’ relevant work experience – Previous experience in a team or project role is preferred
  • Experience that demonstrates organisation skills associated with Project Management
  • Experience of testing processes and applications
  • Must possess excellent verbal and written communication skills.

Position of Clerical Officer (temporary) Education, Research and Learning Section

The INTO is the largest teachers’ union in Ireland representing circa 50,000 members in the Republic of Ireland and Northern Ireland. Applications are invited for this temporary Clerical Officer position at INTO Head Office. The successful candidate will be part of a dynamic, responsive and flexible team, committed to achieving INTO objectives especially in the area of direct service to members. This is a position which involves responsibility in relation to INTO’s flagship professional development and trade union training programme and related functions.

The successful candidate, who should be a graduate and/or have relevant post Leaving Certificate qualification/s and/or relevant experience, will have the following key competencies:

  • An understanding of the INTO’s work and some knowledge of the broader education and trade union sectors within which the Organisation operates
  • Knowledge of professional development and learning issues relevant to primary teachers
  • Capability to use technology to progress professional development and learning opportunities for INTO members;
  • A capacity to plan and organise, and an ability to write clearly and accurately and to respond to members’ queries regarding the INTO’s professional development, learning and trade union training programmes;
  • Demonstrate a willingness to research, learn and check accuracy
  • Flexibility and an ability to adapt to the changing requirements of the work
  • Strong interpersonal and communication skills
  • Commitment and a demonstrated capacity to work collaboratively as part of a team and to support the work of colleagues
  • An appreciation of the importance of delivering the highest standards of services and supports to INTO members.

Job Specification

The Conditions of Employment (COE) Section at INTO Head Office plays a key role in a wide range of areas including the organisation of professional development and learning opportunities for members in addition to trade union training.

The Clerical Officer in the Education, Research and Learning Section (ERL) will work with the ERL team under the management of the Assistant General Secretary and Officials, subject to the overall management of the General Secretary.

Specific duties will include those as itemised below and the appointee will be expected to exercise sound judgement, demonstrate an ability to keep abreast of changes in professional development and trade union training issues, display skill and diligent application in the performance of his/her role, and show flexibility as required.

Initially, specific duties will include:

  • Participation in organising, supporting and developing professional development and trade union training programmes for members.
  • Managing in a courteous, friendly and confidential manner, queries from members regarding the INTO professional development and trade union training programme.
  • Administrative duties in the section, including preparation of documentation, presentations and materials, managing correspondence, maintaining an effective filing system, managing diaries, and arranging meetings and other events
  • Co-ordinating and organising regional and national training events including the venue logistics and registration.
  • Contributing to meetings of the ERL Section and Learning team where information and updates on current Professional development and trade union training programmes are shared.
  • Active involvement in maintaining the Learning section of the INTO website and ensuring that information is accurate, reliable and updated as necessary.
  • Effective use of the Organisation’s IT systems, including Microsoft Office, moodle, wordpress, Survey Monkey, Go2Webinar and the membership database
  • Provide research support as required including generating surveys and collating results
  • Relief reception duties as required
  • Such other duties in the ERL Section, or elsewhere within INTO Head Office, as the General Secretary may decide
